Job Description

We are seeking a trusted and highly capable Executive Assistant to provide direct support to the Founder of mBIOTA Labs in both her entrepreneurial ventures and additional personal business affairs (real estate portfolio management).

This is a full-time, in-office role based in Santa Monica, where youll work closely alongside the Founder, gaining first-hand exposure to executive decision-making, entrepreneurial leadership, and dynamic business operations.

Unlike a traditional executive assistant role, this position blends executive support, business operations, and project management. The ideal candidate thrives in fast-paced environments, brings excellent judgment and discretion, and has a genuine curiosity about business management and real estate.

About the Role

This is far more than a traditional executive assistant or admin role - its a unique opportunity to work side by side with the founder of an early stage startup, gaining hands-on experience across business management, operations, and strategic execution in both her health innovation company and her personal real estate ventures.

As the Executive Assistant, youll serve as the Founders trusted right hand - someone who can anticipate needs, manage priorities, and drive key initiatives forward without being micromanaged. Youll work across a diverse set of responsibilities, from supporting the Founder in her leadership role at mBIOTA to helping manage her real estate portfolio, ensuring projects, agreements, and commitments are executed with precision.

Whether its reviewing leasing agreements, flagging key decision points, coordinating with contractors on renovations, preparing business documents, or aligning the Founders schedule across multiple ventures, youll blend strategic judgment with hands-on hustle. You will work closely with the Founder and her Personal Household Assistant, focusing primarily on business and project-related responsibilities, not day-to-day personal errands. The ideal candidate thrives in dynamic environments, understands the nuances of supporting a busy executive across multiple ventures, and brings strong judgment and discretion to every interaction.

Key Responsibilities

  • Business Management: Conduct light research and provide guidance on business structures (LLCs, 501(c)(3), trusts, etc.). Help maintain organizational systems across multiple ventures, keeping records and documents current. Support coordination with external advisors (attorneys, accountants, consultants) as needed.
  • Real Estate Portfolio Management: Assist in managing a portfolio of real estate assets, including leasing agreements, property records, and compliance documentation. Oversee project management for renovations, working with contractors and vendors to keep budgets and timelines on track. Liaise with property managers and brokers to ensure smooth portfolio operations.
  • Executive Support: Coordinate closely with the Founders Personal Household Assistant to align calendars and logistics.
  • Administrative Backbone: Provide operational and administrative support across ventures, including reviewing of contracts and agreements, highlighting key decision points, and taking initiative on actionable next steps.
  • Business Operations & Reporting: Track KPIs, prepare internal reports, and support data-driven decision-making
  • Right Hand/Catch-All Support: Step into high-priority tasks - whether assembling executive materials, ensuring events run smoothly, or setting up tools and processes

What Were Looking For

  • 3-5+ years of experience in executive support, operations, or project coordination.
  • Strong organizational and multitasking skills, with the ability to manage priorities across industries.
  • Familiarity with real estate project coordination, leasing, or portfolio management preferred.
  • Solid understanding of business structures and general business administration.
  • Excellent written and verbal communication skills.
  • High emotional intelligence, professionalism, and discretion in handling sensitive matters.
  • Proficiency in productivity and project management tools (Google Workspace, Excel, Monday, etc.).
  • Based in or willing to relocate to Los Angeles - this role is 100% in-office in Santa Monica.
