The Middle School Receptionist serves as the primary point of contact at the Middle School reception area and provides essential administrative support to faculty, staff, and administrators. This role ensures smooth daily operations while maintaining a professional and welcoming environment for students, families and visitors.

Essential Job Functions and Responsibilities
1. Front Desk & Reception Responsibilities
• Responsible for all front desk and reception area functions
• Monitoring gate and front door access; greeting and assisting visitors.
• Answering, screening, and routing incoming phone calls; responding to general inquiries.
• Managing student late arrivals, early dismissals, and daily attendance records
• Receiving and distributing deliveries
• Sorting and delivering mail.
• Making daily carpool and dismissal announcements
• Assisting with security protocols, including visitor check-in and emergency drills
• Maintaining an orderly and welcoming reception and administrative suite
2. Student Health Support
• Administers student medication as directed by the school nurse; maintains accurate health records.
• Assists students who are unwell and communicates with the school nurse to determine appropriate next steps, including parent notification when necessary
• Maintain first aid supplies in the reception area and ensure readiness.
3. Faculty & Staff Support
• Sends attendance reminders to teachers and maintains attendance-related communication
• Supervises students sent to the office or for administrative meetings
• Greets and orients substitute teachers and outside service providers
• Receives and distributes packages
• Provide clerical support for faculty/admin as needed (copying, scanning, formatting documents).
• Assist in monitoring substitute availability and securing substitutes
• Take end of year inventory to facilitate student supply order
4. Program & Event Administrative Support
• Field trips (day) and overnight trips (logistics support, transportation, permissions forms)
• Graduation (logistics support, diplomas)
• Yearbook (proofreading, coordination of orders and distribution)
• Assist with communications (reminders, logistics updates) to families for events and trips.
5. Additional Duties
• Provides occasional coverage of reception area as needed during certain evening/weekend event needs
• Creates monthly internal email to all faculty and staff re: special occasions and happenings
• Performs other duties as assigned
Qualifications
• High school diploma or GED required, with a minimum of three years of experience in a similar role or in school administrative support.
• Proficient in Microsoft Office Suite, including Outlook, Excel, and Word
• Excellent interpersonal and communication skills; able to interact professionally and warmly with all members of a school community.
• Strong written and verbal communication skills; able to write business correspondence and interpret documents effectively
• Proficient with technology; experience using Windows 2011
• Skilled in operating standard office equipment.
• Self-motivated, detail-oriented, and capable of working independently
Collaborative team player with strong multitasking abilities

Physical Requirement and Work Environment
• Regularly sit, talk, hear and interact with students, parents, staff and visitors.
• Must be able to work in a fast-paced environment, with the ability to prioritize tasks and manage multiple responsibilities
• Ability to turn, bend, and reach as needed throughout the day
• Must be able to work at a desk and use a computer for extended periods of time.
