Job Description

Definition and Duties: Under general supervision, perform transactions involving the transfer of real estate records and updating mapping systems and associated databases. Perform tasks that require cross-referencing and collaboration with other departments. Review legal documents to verify accuracy of information and format documents according to legal requirements and internal procedures.

Knowledge of:
  • English language: grammar, spelling, sentence structure, vocabulary, punctuation, and proofreading.
  • Mathematical computation and basic office and accounting skills.
  • Basic terms, procedures, and techniques used in property description and record keeping.
  • ESRIs ArcGIS software is preferred.
Ability to:
  • Learn, apply, and articulate departmental policies, procedures, and software.
  • Represent Johnson County and perform duties in a professional, responsible, and trustworthy manner.
  • Operate office equipment such as calculators, postage machines, photocopiers, scanners, printers, and multi-line telephones.
  • Provide customer service that is courteous and responsive.
  • Interact effectively with individuals from widely divergent backgrounds, interests, and points of view.
  • Maintain confidentiality and security of information as appropriate.
  • Follow complex oral and written instructions.
  • Have sufficient vision including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus, which permits moderate production and review of a wide variety of material in electronic and hardcopy forms.
  • Have clarity of speech, hearing, and writing which permits effective communication.
  • Handle low to high levels of stress, meet deadlines, and solve problems appropriate to position.
  • Be detail oriented by keeping accurate records and preparing reports.
  • Stand, sit, walk, climb, balance, stoop, kneel, crouch, crawl, squat, bend, twist, and reach as needed.
  • Have sufficient personal mobility to complete duties at various worksites.
  • Occasionally lift, carry and/or move up to 25 pounds.
  • Work a flexible schedule and occasional overtime as needed.
Minimum Education, Training and Experience:

Associates degree in geography, geology, engineering, or related field and one year of office experience preferred; OR any equivalent combination of education and experience that provides the required knowledge, skills, and abilities.

Specific Duties:
  • Maintain up-to-date records of real estate transactions; enter data to update real estate records in accordance with documents submitted to the Auditors Office.
  • Perform splits and combines of parcels.
  • Transform legal descriptions from surveys or written in metes and bounds into an accurate visual format and incorporate them into County mapping systems; digitize source documents and update computer indexing.
  • Proof documents for real estate transactions for errors, reconciling problems by contacting other County offices or individuals as necessary.
  • Provide internal quality control for the Auditors office and other departments as needed.
  • Review recorded deeds with complex legal descriptions and consult with attorneys or the owner(s) to resolve legal issues.
  • Review requests for pending subdivision plats and plats of survey and provide needed information or documentation.
  • Assist with specific queries from the public regarding real estate and taxes.
  • Answer telephone calls and inquiries at the counter, including assisting applicants who request official documents according to Iowa law. Take messages and refer questions to appropriate personnel.
  • Assist during election season with a variety of tasks that can include data entry, voter registration and early voting.
  • Attend work-related meetings, training, and conferences as requested.
  • Perform all work duties and activities in accordance with County policies, procedures, and safety practices.
  • Attend work regularly at the designated place and time.
  • Perform other related duties for the Auditors office and the county.
